Position Description
Reporting to the Manager Technical Training-Business Development, the Administration Officer will be responsible for managing staff relations for the VDO trainee placement program. This includes, but is not limited to, fostering a positive work environment by promoting employee engagement, resolving conflicts, and ensuring fair and respectful treatment of trainees.
The Tutor-project will serve as a key liaison between the trainees and the Training Centre, facilitating open communication and ensuring compliance with workplace policies and local labor regulations.
What You'll Do
1.To ensure the well-being of trainees in their daily life, including accommodation, health, and safety.
1). Conduct regular check-ins with trainees to assess their well-being and address any concerns.
2). Provide guidance and support on daily living matters (e.g., transportation, meals, local customs).
2.To track and evaluate trainees’ performance and progress, and report regularly to relevant stakeholders.
1). Monitor attendance, punctuality, and performance at the workplace or training sessions.
2). Facilitate orientation sessions and ongoing learning activities.
3.To support trainees in their learning journey, including language, technical skills, and cultural adaptation.
1). Chinese language teaching,assist with translation or interpretation when needed (Vietnamese–Mandarin/English).
2). Prepare and submit periodic reports on trainee progress and issues.
4.To act as a liaison between trainees, host company, and HR teams to ensure smooth communication and issue resolution.
1). Coordinate with local HR and training teams to resolve operational or behavioral issues.
2). Organize cultural or team-building activities to enhance integration and morale.
5.To ensure trainees adhere to company policies, local regulations, and maintain appropriate conduct.
1). Support emergency situations or health-related incidents involving trainees.
What You'll Need
1.Functional and other Relevant Experience
1). Minimum of 3 years’ working experience in teaching or supervising young people.
2). Experience in mentoring, coaching, or managing young people or trainees.
3). Prior experience working in a cross-cultural environment is highly desirable.

1). Business Acumen: Understands the objectives of the trainee program and aligns support efforts accordingly.

4). Collaborating & Influencing: Works closely with HR, training teams, and external partners to ensure smooth coordination.
5). Continuous Improvement & Innovation: Proactively identifies ways to enhance the trainee experience and support systems.
6). Developing Self/Others: Acts as a mentor and coach to trainees, encouraging their personal and professional growth.
3.Qualifications and other Relevant Knowledge
1). Recognised degree, preferably in Education or (Aviation) Engineering.
2). Excellent command of English and Vietnamese, both spoken and written; proficient in Chinese is a plus.
