HR Specialist / Analyst, Projects & Planning (HRMS | Data | HR Transformation)

Position Description
We are looking for a proactive and detail‑oriented HR Specialist / Analyst – Projects & Planning to support multiple HR transformation initiatives, including HRMS implementation, HR data archiving, and Group HR Employee Central / SuccessFactors (EC/SF) alignment. This role is ideal for someone who enjoys project coordination, structured tracking, and cross‑functional collaboration with HR, IT, and external partners.
What You'll Do
Project coordination & tracking
- Organize project meetings, manage agendas/minutes, and follow up on action items
- Maintain project trackers (milestones, deliverables, risks/issues, dependencies)
- Consolidate progress updates across stakeholders and highlight gaps/risks early
UAT & training coordination (HRMS / EC-related work)
- Coordinate UAT preparation and execution tracking (test case progress, defect follow‑up, retesting, sign‑off readiness)
- Support user training logistics and readiness tracking (scheduling, attendance, materials coordination)
Data readiness, migration support & archiving
- Support data preparation activities (validation tracking, issue follow‑up, sign‑off coordination)
- Assist in HR data archiving workstreams (scope tracking, documentation, audit trail support)
Change management & system launch support
- Support change management activities to prepare HR teams and end users for new systems and process changes
- Assist in system launch and post go‑live readiness activities, including but the development of communication materials e.g. posters, flyers, and related engagement initiatives.
Documentation & governance support
- Maintain orderly document repositories (e.g., SharePoint / project folders), version control, and governance packs
- Prepare clear status summaries for internal reporting and steering discussions
Ad hoc project support
- Support other HR projects or improvement initiatives as assigned
What You'll Need
- Bachelor’s degree in HR, Business, Information Systems, or related discipline
- 4+ years of relevant experience in HR projects / HR operations with project exposure / HRIS support / transformation initiatives
- Strong organisational skills and ability to manage multiple workstreams with minimal supervision
- Solid proficiency in MS Office / Microsoft 365 (Excel, PowerPoint, Outlook; SharePoint is a plus)
- Strong digital and AI capability (e.g. Microsoft Copilot), enabling hands‑on support in preparing UAT support materials, end‑user training content, and change communications.
- Strong communication skills in English and Chinese (written and spoken)
- Able to work independently and meet project deadlines.
- Proficient in MS O365 e.g SharePoint, Excel and managing data.
- Good verbal and written communication skills in Chinese and English are required
