Assistant Procurement Executive (System & Control)

Position Description
Reporting to team leaders at senior staff level, the incumbent will handle daily vendor registration requests, procurement system issues and payment & other administrative support. He/she will prepare periodic key performance measurement on procurement activities and suppliers’ performance to ensure procurement activities are carried out in fair, reasonable, transparent, cost effective and sustainable manner.
What You'll Do
- To provide customer service support to internal customers & external vendors;
- To ensure proper execution of vendor registration and approvals;
- To ensure smooth running of all procurement related systems;
- To conduct regular KPI measurement and process improvement review;
- To assist/lead studies on system development and process improvement initiatives;
- To assist invoice by vetting the updated price to charge customers;
- To assist mitigation of the safety and sustainability risks of outsourcing
- Handling daily vendor registration & pre-qualification duties,
- Supporting procurement hotline & mailbox and answering incoming enquiries from both internal users and external vendors,
- Ensuring smooth operations of all procurement related systems,
- Performing regular measurement and review on procurement activities, including but not limited to, departmental KPI results, supplier performance, contract management and cost saving capturing etc.
- Assisting the customer’s material consumption reports for price update
- Carrying out continuous process improvement review and internal control assessment,
- Ensuring proper and complete record retention with audit trails,
- Generating management/material reports whenever appropriate,
- Performing departmental administrative roles, including but not limited to, as PD representative in the following functions: HR, IT, FIN, Corp Comm etc. as nominated by Head of Procurement,
- Providing coordination support to internal customers relating to procurement activities,
- Assisting the PD departmental budget preparation and control,
- Providing constructive feedback to PD Management for future development
- Collaborating with teams and Influence relevant stakeholders effectively
What You'll Need
- Minimum relevant working experience:
- <1 year for Procurement Assistant
- 1-2 years for Asst. Procurement Executive
- 3-4 years for Procurement Executive;
- Previous experience in aviation industry would be an advantage.
- Product & market knowledge in related category of purchases is an advantage;
- A recognized Diploma/Bachelor degree in Procurement / Supply Chain Management or other related discipline.
- Excellent negotiation, communication, interpersonal skills and problem-solving technique
- Good knowledge in system development & IT skillset is definitely at an advantage.
- Self-motivated, well organized, analytical and result-oriented
- Proficient in MS Office applications
- Excellent command of English and Chinese, both spoken and written. Putonghua would be an added advantage
