Position Description

This role is a lead role in providing secretarial support to the Group Corporate Development, while supporting the Group Digital and Group HR for general administrative functions. Highly visible as the point-of-contact (POC) to the General Manager, Corporate Development, this role is key to supporting internal / external stakeholders, operational teams, and daily movements of leadership to ensure smooth flow of the overall administration to the Group’s Corporate Development, Digital, and HR teams.

What You'll Do


Communications

  • Visible as point-of-contact (POC) for general inquiries to Group Corporate Development, Group Digital, and Group HR teams.
  • Support in formal communications and distribution to internal / external stakeholders.


Scheduling

  • Coordinate meetings and scheduling with internal / external stakeholders, maintain shared calendars of Group Corporate Development and other teams as defined.


Office Administration

  • Process documents for signatory and routing. 
  • Maintain files and databases as assigned, and monitor statutory requirements.
  • Assist in the onboarding of new employees into the Group Corporate Development, Group Digital, and Group HR.
  • Provide reports and documents on scheduled basis or per request, and assist in preparing presentation materials
  • Undertake ad-hoc projects as assigned


Travel & Expenses

  • Arrange travel bookings and itinerary on business travels.
  • Prepare expense reports, and coordinate submission on expenses.
  • Screen expense reports submitted by employees prior to approval.
  • Provide support to members of Group Corporate Development and other teams defined on travel arrangement.


Compliance

  • Maintain compliance with HAECO processes and policies.
     

What You'll Need


1.    Technical and other Relevant Experience

  • Minimum 5 years of relevant experience in sizeable organization


2.    Qualifications and other Relevant Knowledge

  • Degree / Diploma holder 
  • Well-organized and independent; self-motivated; attentive to details; and service-oriented attitude
  • Strong communication and interpersonal skills
  • Excellent command of English, written and spoken; Cantonese and / or Mandarin an advantage
  • Proficient in MS Office (Microsoft Word, Excel, and PowerPoint)
